Frequently Asked Questions
1. What are the components of a spill number? For tracking and data coding purposes, every incident is given a unique number (spill number). This number is composed of three distinct parts. First, a letter is assigned which represents the regional office handling the incident:
For Office locations please visit http://www.maine.gov/dep/contact/mdepoffices.html 2. What data is included in this report? Data included within this system is investigative and "emergency response" data only that includes some of the following information; spill number, parties involved, product(s) involved, reported and incident dates, where incident happened, a narrative, how remediated if applicable. Attachments associated with a spill report are not included, however, can be viewed at the bureau file room. "Project" files, also tracked via spill number, are located in SSTS (Spill Site Tracking System) and the bureau file room. 3. Is it possible to get all this data electronically? The bureau regularly exports a copy of this data to our FTP website. Navigate to "Codes for HOSS database tables" from this page or visit http://www.maine.gov/dep/maps-data/data.html to download the Spill Report Code Sheet and Spill Report Status Code Descriptions. 5. Does this report include all the data relative to a spill? In some instances it does, however in others it does not. If the spill report is accompanied with other supportive documentation (attachments), the attachments are currently stored in paper within our bureau file room. Further, if a site has been referred to another division within the bureau for additional oversight and management, the data is tracked and maintained elsewhere. For example, Technical Services "Project" files are electronically stored and tracked in SSTS (Spill Site Tracking System) and paper files are maintained and stored in the bureau file room. 6. How may I view spill reports and project files? Please visit http://www.maine.gov/dep/maps-data/data.html to see information available through the bureau file room. Contact the file room at (207) 287-7843. 7. Who do I contact at DEP for more information? Please visit http://www.maine.gov/dep/spills/contacts/index.html
